EXECUTIVE ASSISTANT, EAST HAMPTON, NY

Farm Design LLC is a landscape design firm based in East Hampton, NY. Our work celebrates native and natural systems while retaining a focus on design excellence. We are seeking an experienced executive assistant with an adaptable and can-do attitude, positive outlook, and an understanding of the essential collaborative nature of our profession. This is currently a part time flexible position requiring 20 – 25 hours per week, which will vary based on the season and the time of month. We will be embracing a hybrid environment of working from home and in the office.

Responsibilities will include, but are not limited to:

  • Responsible for monthly billing and facilitating all matters pertaining to payroll, office receipts, and communication with bookkeeper on an ongoing basis.
  • Work with principal to set and monitor project deadlines for all staff.
  • Assist Horticulturist with creating, tracking and receiving plant orders.
  • Assist Principal with all HR related issues including job posting, interview scheduling, annual reviews, and new employee onboarding.
  • Handle general office management responsibilities; prepare agendas and schedule weekly and seasonal staff meetings; monitor and order office supplies.
  • Manage company digital filing systems, and organize and manage visual photo files.

SPECIAL PROJECTS:

  • Support principal in all areas of responsibility, both professional and personal, as required.
  • Assist principal in the ongoing development of company brand and social media presence.

KNOWLEDGE, SKILLS AND ABILITIES:

  • Excellent verbal and written communication skills.
  • Outstanding organizational skills and strong attention to detail.
  • Extensive experience with Microsoft Excel, Word, and all computer related functions.
  • Resourceful and solutions oriented.
  • Highly motivated with an ability to anticipate needs and take charge when appropriate.
  • Ability to prioritize and manage multiple projects and diverse areas of responsibility.

Experience: 2-5 years of prior executive assistance.

Salary: Commensurate with experience.

LANDSCAPE ARCHITECT ASSOCIATE

Farm Design LLC is a landscape design firm based in East Hampton, NY. Our work celebrates native and natural systems while also retaining a focus on design excellence. We are looking for team members who share our interest in creating evocative native and sustainable landscapes and who are articulate, passionate, and willing to invest to learn their craft. It is our belief that working on all aspects of building a landscape provides valuable insight and will help deepen design skills.

PRIMARY RESPONSIBILITIES:

  • Assisting Project Manager with all phases and all aspects of design work, beginning with schematic design presentations through construction documents and beyond.
  • Prepare graphics for site analysis, schematic design ideas, 2-d and 3-d digital models, design development studies, and construction documents.
  • Assist with site work, which includes meeting contractors, discussing design goals with clients, documenting existing landscape features, assessing the health and viability of both existing and new landscapes, preparing meeting notes and more.
  • Prepare RFP, request for pricing, documents using excel, analyze and compare bids, follow up with contractors and more.

SKILLS/QUALIFICATIONS:

  • Proficiency in Auto Cad, Adobe Creative Suite, Microsoft Office and Sketch Up.
  • Excellent graphic skills and aesthetics.
  • Strong communication and organizational skills.
  • Responsible, self motivated and detail oriented.
  • Professional friendly demeanor, as well as excellent verbal and written skills.
  • Knowledge and or willing to learn landscape installation and maintenance requirements.
  • Experience with plants and planting, or demonstrated interest in ecology and ecological processes.
  • Familiarity of local building materials and their construction.
  • Must have your own car transportation, mileage is reimbursed.

PROJECT MANAGERLANDSCAPE ARCHITECT

PRIMARY RESPONSIBILITIES:

  • Lead multiple landscape architecture projects from schematic design through construction observation.
  • Responsible for the production, organization, coordination and accuracy of both presentation and construction documents.
  • Manage project schedule and workflow.
  • Communicate with and coordinate the efforts of project team members, clients, consultants, and contractors.
  • Research and specify materials for construction.
  • Take an active role during construction observation, attend job site meetings, clarify and confirm design intent, review submittals and shop drawings.
  • Coach and mentor junior staff.

SKILLS/QUALIFICATIONS:

  • BS or MS in Landscape Architecture or Architecture.
  • 3-5 years experience working as a landscape designer or architect. Preferred candidates will have project management experience.
  • Computer Skills: Competent in AutoCAD, Microsoft Office, Adobe Creative Suite, SketchUp or other 3D software (We are a Mac based office).
  • Experience with all aspects of Design Services from Schematic Design through Construction Observation.
  • Knowledge and Experience preparing RFPs and Budgets.
  • A strong familiarity and understanding of Construction Practices, Building Methods, Sequences, and Codes. Experience preparing construction documents and specifications.
  • Ability to coordinate Multiple Projects and Deadlines.
  • Responsible, hard-working, self-motivated, and detail oriented.
  • Professional friendly demeanor, as well as excellent verbal and written skills.
  • Shared Design aesthetic with strong graphic skills.
  • Personal transportation required. Mileage reimbursed.
